The challenge

Business-critical forms contained branching rules, approvals, notifications and record movements that were difficult to manage consistently as one-off solutions.

Existing environment

Placement and compliance processes operating across Sonia Online and Microsoft 365, with multiple owners, release environments and change dependencies.

Solution architecture

Design decisions

Form logic was separated from communication and downstream processing so changes could be tested safely.

Business rules were made explicit before automation was designed.

Experience design

Users complete guided forms and receive timely, consistent updates while operational teams retain oversight of approvals, exceptions and system records.

Implementation

The framework combines form design, workflow mapping, notification and approval logic, test scenarios, release controls and operational governance.

Outcome

Related automation work gained a clearer and more maintainable structure for delivering complex forms without losing accountability or control.

What I learned

A workflow is only dependable when its business rules, exception paths, ownership and release process are designed alongside the automation.
