Technology Loan Library, built in Power Apps & Power Automate.
Overview
The Tech Loan Library is a system I designed in Power Apps and Power Automate to manage the borrowing of university technology. The audience included staff requesting devices, administrators tracking availability, and team members approving or rejecting requests. Constraints included integrating with SharePoint data, automating approvals, and ensuring visibility of asset availability.
Process
- Sketched user flows for staff requests, approval, and asset returns, including keyboard focus states for accessibility.
- Built the app in Power Apps with linked Dataverse tables (LoanRecords, Technology_List, Loan Assets Bridge).
- Used forms and relationships to simplify loan creation, linking assets to loan records while marking items unavailable.
- Prototyped interfaces in plain Power Apps components styled with HTML/CSS-like theming.
- Tested workflows with staff, refining dropdowns, filtering, and reporting dashboards to improve usability.
Outcome
The Tech Loan Library reduced manual admin and improved tracking of asset usage. Staff could see available devices instantly, request them easily, and receive automated approval or rejection. Reporting dashboards supported auditing and resource planning. Feedback highlighted the system’s reliability and ease of use compared to manual request logs.
