Overview
The Efficiency Assistant is a workflow tracking system developed for the Innovation & Design team. It manages project intake, categorisation, and progress monitoring without using “request” or “ticketing” language. The audience included the I&D team, leadership needing visibility of workload, and staff submitting new work. Constraints included integrating SharePoint with Jira, automating repetitive updates, and making the interface simple for non-technical users.
Process
- Sketched flows for capturing incoming work, assigning tasks, and updating progress.
- Designed a SharePoint-based form interface with keyboard focus states to ensure accessibility.
- Prototyped workflow dashboards in Power Apps styled with clean, HTML/CSS-inspired layouts.
- Built Power Automate flows to categorise items, send notifications, and sync updates with Jira.
- Tested with the I&D team, refining labels, filters, and reporting outputs for clarity.
Outcome
The Efficiency Assistant improved transparency and reduced duplication in project tracking. Leadership gained real-time visibility of workload across the team, while staff experienced faster updates and clearer communication. Automation replaced manual steps, freeing time for design and strategy work. Feedback noted that the system provided structure without adding administrative burden.
